Administrative procedures related to the legalization of stay for foreigners in Poland are entering a new phase. Urząd do Spraw Cudzoziemców is implementing the MOS system (Case Handling Module), introducing a modern, digital approach to application submission and case management. These changes are particularly relevant for international students, PhD candidates, and researchers, as well as the institutions that support them.

The new system enables the entire process to be carried out online, from submitting applications and providing supporting documents to tracking the progress of individual cases. This approach simplifies procedures while increasing transparency and accessibility, addressing the needs of a rapidly evolving academic environment.

An important feature of the MOS system is its support for mobility within the European Union. It covers situations such as undertaking part of one’s studies in another EU Member State, conducting research within international teams, or participating in collaborative research projects. It also takes into account accompanying family members involved in academic mobility.

The implementation of MOS also introduces new responsibilities for universities and research institutions. Their role will include preparing and verifying documentation, supporting applicants throughout the process, and ensuring the accuracy of submitted data. While this requires organizational readiness, it also creates an opportunity to streamline administrative workflows and enhance the quality of support provided to international communities.

The introduction of the MOS system marks a significant step toward the continued digitalization of public services and the development of a more efficient and user-friendly environment for international students and researchers. It also offers institutions an opportunity to strengthen modern service standards and actively contribute to the internationalization of higher education in Poland.
